Ridgway Scouts Camps Planning Kit

Do you want to plan your own camp?

This page is designed to give you most of the information you should need in order to plan your own camp in Scouts. This page will give you suggested stages of planning as well as detailed instructions for each member of the planning team.

More details for the planning of hikes will be added shortly.

Can we make clear that no camp or hike can take part without the permission and presence of a leader. We would also recommend that a leader is present at one of your planning meetings in order to guide you and make sure that everything is completed.

The ideal procedure for planning your own camp would be the following.

1. Form a organising group that will be taking part in the camp.

2. Organise a planning meeting.

You should inform the leaders of your meeting so that we can try and get a representative to help you with your planning. If you can't all get together then perhaps look at having a meeting at the Scout Hut before a Scout meeting (ask a leader) or look at organising a meeting on the Troop Chat Room.

You will need to delegate jobs and roles to each of the planning team to ensure all jobs are completed. All the jobs need to be done by all the members in order for the camp to go ahead. You will need to work together in order for all the jobs to be done.

 Main Job Titles
Chairman It's the chairman's job to ensure that everything is being done. He overlooks the planning and organises the meetings. He chairs the meetings and makes sure everything is covered.
Secretary Responsible for the administration/paperwork of the camp.
Treasurer Needs to work closely with the secretary. The treasurer is responsible for the camp finances.
Quartermaster Responsible for the equipment side of the camp.
Catering Manager Needs to take care of the food side of the camp. This means the planning of the menu as well as what food is needed.
 Other Possible Job Titles
Activity organiser Can relieve the secretary of the booking of activities and ensure the activity forms are filled out.
Transport Manager Can organise the transport for the camp. How will you get to camp. Do you need transport to get to any of the activities. (bus, car, bike....)

Try to organise a date for the camp. This will give you a final date to aim for.

3. Ensure that everyone can make the proposed date.

4. Book venue and activities.
